Privacy Policy

This Privacy Policy explains how Field Efficient (“we”, “us”) collects, uses, and discloses personal information when you use fieldefficient.com.au. We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Information we collect

Account and authentication details (email, name, company); profile and identity details you provide (such as licence number and certifications); data you enter about your clients, sites, and jobs; test data including results, verdicts, photographs, and voice recordings you capture; equipment and calibration records; and usage and billing metadata.

How and where we store it

Your data is stored in a managed cloud database and file storage service hosted in Australia (Sydney region).

Service providers (subprocessors)

We share data with third-party providers who help us run the service: a cloud hosting and storage provider (Australia); a payments processor; an AI provider for parsing of PDFs, photos, and text (United States); a voice transcription provider (United States); a product analytics provider (United States); an email delivery provider; and an application hosting and content delivery provider.^*

AI processing

To turn your captured inputs into structured results, test exports, photographs, and voice recordings are sent to our third-party AI providers for parsing and transcription. We send only what is needed to perform the task.

Overseas disclosure (APP 8)

Some of the providers above are located in the United States. By using AI capture and transcription features, you acknowledge that the relevant test data is disclosed to those overseas recipients for processing. Separately, when product analytics is enabled, limited usage metadata (such as pages visited and feature events, linked only to an internal user identifier — not your name or email) is disclosed to our overseas analytics provider. You acknowledge these overseas disclosures.

Retention and deletion

We retain your data while your account is active. Inactive trial accounts are subject to a scheduled purge after a period of inactivity, after which the associated email is recorded to prevent re-use abuse. You can export your data at any time from Settings → Data export.

Security

We use row-level security, encrypted transport, and access controls to protect your data. No method of transmission or storage is completely secure, but we take reasonable steps to protect it.

Cookies and sessions

We use cookies to keep you signed in and to operate the service. When product analytics is enabled, our analytics provider also sets a first-party cookie to recognise returning sessions. We do not use third-party advertising cookies.

Your rights

You may request access to, correction of, or deletion of your personal information by contacting us. We will respond in accordance with the APPs.

Changes

We may update this policy from time to time. Material changes will be notified in-app or by email.

* We use trusted third-party services to operate our platform, including Stripe (payments), Supabase (cloud database and authentication), OpenAI and Anthropic (AI processing), PostHog (product analytics), Resend (email delivery), and Vercel (hosting and content delivery). These providers may process personal data strictly on our behalf and in accordance with their respective privacy policies.
